What information does The Blue Meadow collect and why?

In order to provide you with complementary therapies and holistic massage therapy, The Blue Meadow will need information from you and about you.

The optional on-line enquiry form requests your name and email address. There is an optional field for a message or enquiry.

This data is sent by email to The Blue Meadow only and is used for contact purposes. Your details are not shared with third parties unless required by law, in which case you will be notified.

On receipt of the email, if an appointment is arranged, the appointment and contact details are copied into electronic and physical diary / calendars to book you in for treatment and to allow for rearrangement if necessary.

Information collected at consultation and treatments

In order to provide safe and effective holistic therapy treatments, The Blue Meadow will gather information about current health and medical history. This information is used only to provide you with appropriate and safe treatment. We will record the information in hard copy form at initial consultation and at subsequent treatments.

Lawful Basis

The lawful basis for collecting and storing this information is my legitimate interests, enabling me to provide you with the most appropriate, safe treatment and advice throughout the treatment period.

Retention of information

We need to keep the information to comply with the insurer’s conditions and to comply with Federation of Holistic Therapists guidelines. Your information is not shared with third parties. It is stored securely for a period of 10 years as required by The Blue Meadow’s insurer, then cross-cut shredded.

If the contact form has information relevant to treatment this will be stored on hard copy. This will be stored securely then destroyed in the same way as consultation and treatment records.

What other information is collected?

Aside from the personal data that you provide to The Blue Meadow, Squarespace, the website host, will gain information about your interactions with the site. Squarespace describe the data held as “anonymous, aggregated or pseudonymized form which does not focus on you individually”. Data is primarily held on hard copy, stored securely. Enquiry form emails are normally deleted within 1 month. The email account has up-to-date anti-virus software.

Requests to access, to restrict processing or to erase your personal information

If you wish to know what information The Blue Meadow holds about you, please email maria@thebluemeadow.com. A copy can be provided on request.

If a request is received to restrict processing of or to erase personal data, the relevant data will be placed into secure storage until it is destroyed. Secure destruction will occur within 1 month of the request as long as the data does not relate to treatment. In the case of treatment records, the destruction will be 10 years from the data creation date, in line with The Blue Meadow’s insurance requirements.
